Tenant Settings

The tenant entity ensures that tenant data is segregated and secure. To isolate and protect tenant data, make sure there is a tenant entity for each tenant.

The tenant entity is not a new hierarchy. Rather, it is a way to select assets in the system. There are no parent or child tenants; all tenants are siblings to each other.

If an organization is not associated with a tenant, it is assumed to belong to the service provider.

Creating a new tenant entity is only part of the workflow for setting up your environment to adhere to multi-tenant requirements.

Before you begin 

Refer to the Verint Cloud Service Provider Reference Guide for the following pre-requisites to this procedure:

Procedure 

  1. Go to Organization Management Module in WFO that allows administrators to set up different hierarchies to manage users from a single, unified, Web interface.. Under Hierarchies, select Tenant Settings.

  2. From the Tenant Settings page, select Create.

  3. On the Tenant Details page, enter the tenant name, description, external tenant ID, and select the tenant root organization and tenant root groups.

  4. If you wish to also create the tenant administrator user, in the Tenant Admin User Details section, you must enter the first name, last name, and username of the tenant employee who will be the tenant administrator.

  5. In the Tenant Admin User Details section, if you want to send an email containing the tenant username and password to the tenant administrator, select the check box for Send the tenant admin a notification email. Enter the email address of the tenant administrator in the Notification Email Address field.

    If the tenant administrator user is not using DB authentication, and relies on external authentication such as SAML, then notification emails are not recommended.

  6. Click Create.

    A confirmation message appears, indicating that the tenant has successfully been created. The new tenant details now appear on the Tenant Settings page.

    To edit tenant details, select the tenant from Tenant Settings and click Edit.

You can edit the tenant Name, Description, and External ID, but not the root organization or assigned root groups. The tenant-root organization association impacts various system entities and there are global implications. Therefore, it is critical to maintain this original association once it is created.

Tenant Details

 

Name

Name of the organization of the tenant.

This name is displayed in the system.

Description

Detailed information about the tenant.

These notes or comments about the tenant are preserved with the tenant record.

External Tenant ID

A third-party identifier, such as a CRM ID, used to help the service provider link the tenant to their CRM record.

This must be the same ID defined when the initial organizational hierarchy for the tenant was created.

Root Organization

Root organization of the tenant.

Root Groups

(Optional)

Groups to which the tenant is associated.

A root group includes multiple people within the organization of the tenant that can be managed as a group for application purposes. For example, you can create a group of managers or people who belong to the same sub-organization.

Tenants can belong to three types of groups: Other, QM, and Learning. You can select multiple groups by clicking the drop-down selector and selecting each group.

NOTE: This field is not required. You do not have to enter root groups for a tenant. However, once you assign root groups to a tenant, you cannot edit them after saving your changes.

You can leave the root groups field blank. However, if you do leave the field blank, you will not be able to edit it after saving your changes.

KMS Key ID

Lists the tenant Thales Key Management Server (KMS) key ID. When a KMS Key ID appears in this column, it indicates that the tenant KMS key registered successfully with the Thales KMS server.

If a red circle icon with a line through it appears here, it indicates the that the tenant KMS key was not registered successfully with the Thales KMS server.

If this field is empty, it indicates that the KMS key has not been generated yet.

Tenant Admin User Details (Optional)

 

Last Name

Enter the last name of the tenant employee who will be the tenant administrator. If you are creating a Tenant Admin User, this field is required.

First Name

Enter the first name of the tenant employee who will be the tenant administrator. If you are creating a Tenant Admin User, this field is required.

Username

Enter the username of the tenant employee who will be the tenant administrator. The tenant administrator uses the username to log in to the system. If you are creating a Tenant Admin User, this field is required.

Send the tenant admin a notification email

Select this check box if you want to send a notification email to the tenant administrator. The notification email contains a username and temporary password for the tenant administrator account.

Notification Email Address

If you selected the Send the tenant admin a notification email check box, enter the tenant administrator email address in this field. If you want multiple users to know the tenant administrator username and password, you can enter multiple email addresses in this field. Separate multiple email addresses with a semi-colon. You can enter a maximum of 250 characters in this field.

Upon entering the username and temporary password received in the email to access the system, the user is directed to a change the password screen. At this screen, change the temporary password received in the email to a new password.
