Shift requests & changes settings

The shift Work period in WFM that has a definite length. requests & changes settings make the shift request & shift change features available and define which types of these requests can be submitted.

These settings are on the Settings page. This page is on Organization Management Module in WFO that allows administrators to set up different hierarchies to manage users from a single, unified, Web interface., under Request Management.

Allow requests for new shifts

Employees and supervisors can submit requests for new shifts.

Allow requests for regular (non-overtime) shifts

Requests can be submitted for new, regular shifts.

Allow requests for overtime shifts

Requests can be submitted for new, overtime shifts.

Allow requests for changes to existing shifts

Employees and supervisors can submit requests for changes to shifts that have already been scheduled.

Allow requests to modify start time

Requests can be submitted to change the start time of existing requests.

Allow requests to modify shift selection

Requests can be submitted to change the shift selection.

Allow requests for extensions

Employees and supervisors can submit requests for extensions to new and existing shifts.

Allow requests for regular (non-overtime) extensions before a shift

Requests can be submitted for extra regular time before the beginning of a new or an existing shift.

Allow requests for regular (non-overtime) extensions after a shift

Requests can be submitted for extra regular time after the end of a new or an existing shift.

Allow requests for regular (non-overtime) extensions during a gap

Requests can be submitted for extra regular time during available gaps that occur during a new or existing scheduled shift. Available gaps include both shift/overtime gaps and custom shift gap activities.

Allow requests for regular (non-overtime) extensions during adjustable breaks

Requests can be submitted for extra regular time during adjustable breaks that occur during a new or existing shift.

An adjustable break is an activity with the Allow Extensions field set to Yes, treat as an adjustable break. (This field is located on the Activity Details page, under the Request Management Usage section.)

Allow requests for overtime extensions before a shift

Requests can be created for an overtime extension before the start of a new or an existing shift.

Allow requests for overtime extensions after a shift

Requests can be created for an overtime extension after the end of a new or an existing shift.

Enforce the duration for overtime extension requests

The value for the Duration (Length) is enforced in Shift Change requests. Users cannot edit the Duration.

If this check box is clear, the value set for the Duration (Length) of the overtime extension in the work rules Rules in WFM that determine how employees are scheduled, and reflect both the needs of the organization and the individual employees. is not enforced. Users can change the value to anything from 1 minute to 24 hours when submitting a Shift Change request.

Employees (agent role) can edit this value on their My Requests page and the Schedule page. Some non-agent roles, such as Supervisor, can edit this value for an employee on the Schedule page and the Employee Requests page.

The value of the Duration (Length) of the overtime extension is defined on the OT Extension page. (This page is on Work Administration, under Work Rules.)

Enforce the gap for overtime extension requests

The values set for the Min Gap and Max Gap of the overtime extension are enforced. When requesting an overtime extension, users can change these gap values to any value between the Min Gap and the Max Gap. Employees (agent role) can edit this value on their My Requests page and the Schedule page. Some non-agent roles, such as Supervisor, can edit this value for an employee on the Schedule page and the Employee Requests page.

Example - Create a new request form: If the work rule has a Min Gap of 15 minutes and a Max Gap of 1 hour, the user cannot select a Min Gap value lower than 15 or a Max Gap value higher than one hour.

Net Staffing Ribbon behavior: If users draw the gap on the net staffing ribbon, the value populated on the request form varies based on whether the gap drawn is inside the Min Gap and Max Gap values.

  • If the user draws a gap that is inside the Min Gap and Max Gap values, the request form is populated with the gap.

  • If the user draws a gap lower than the Min Gap value, the request form is populated with the Min Gap value.

  • If the user draws a gap that is higher the Max Gap value, the request form is populated with the Max Gap value.

If this check box is clear, the value for the Min Gap and Max Gap of the overtime extension is not enforced.
