Copy and paste entire schedule overview
From any zoom level, you can copy the schedule of an employee, and paste it for the same or different employees for the same or different date.
The system pastes the shift Work period in WFM that has a definite length. assignments and the associated shift events of the copied schedule. You can copy and paste schedules across campaigns and scheduling periods, and also to and from campaign Collection of scheduling periods in WFM, which are defined time periods where specific employees target specific workloads. and no campaign mode Mode of working in WFM where you work on schedules for a specific campaign and scheduling period..
You can paste to a different day in Hours or Day view. You can also paste to a different week in Week view. (If you are in Period view, there is no need to go to a different date.)
Pasting a schedule to a target date with existing scheduled standard shifts
If you attempt to paste to a time slot on the schedule that already has a scheduled, standard shift (locked or unlocked), the system treats this scenario as a soft conflict. It prompts you to confirm the paste, indicating that you already have a scheduled shift in this time frame. The system provides you with the option of overwriting the existing shift with the copied shift. You can also decide not to paste the copied schedule to the targets.
If you are attempting to paste a weekly or period schedule, and the target week or period has scheduled shifts on different days than the copied schedule, the system leaves the existing shifts as is, and attempts to paste the rest of the schedule. In this way, it is not a blind copy and paste action that completely overwrites the existing schedule. Rather, the system appends the target schedule with the copied assignments.
Example: Copy and paste appends target schedule
For example, a Team Leader works five days a week, Monday through Friday. Your goal is to copy and paste the Team Leader's schedule to a group of new employees for their first scheduling period, which is a few weeks. The new employees also work on Saturdays.
Do the following:

Add the Saturday shifts for the new employees.

Copy and paste the Team Leader's schedule for the new employees.
The target schedule for the new employees includes the same schedule as the Team Leader from Monday to Friday, in addition to the extra-Saturday shift.
Pasting a schedule to a target date with existing custom or non-standard shifts
You cannot paste a copied shift assignment to a target date that already has a custom or non-standard shift. The system cannot overwrite these types of shifts by a copied shift, even if their time frames do not overlap.
For example, the target date has a non-standard shift from 9:00 AM- 3:00 PM, and the copied shift assignment is from 4:00 PM - 9:00 PM. As there cannot be two shifts on the same day and a non-standard shift cannot be overwritten, the system blocks the paste.
Pasting a schedule to a target date with unavailability events
You cannot paste a copied shift assignment to a target date that has an overlapping unavailability event Scheduled event in WFM that indicates an employee is unavailable for scheduling. The scheduling engine does not schedule a shift that overlaps with an unavailability event.. However, if the unavailability event does not overlap with the copied shift, the system can still paste the schedule.
For example, the unavailability event is from 8:00 AM - 3:00 PM on the target date, and the copied shift assignment is from 4:00 PM - 9:00 PM. As the copied shift and the unavailability event do not overlap, the system can paste the copied schedule.
In another example, the unavailability event is from 8:00 AM - 5:00 PM on the target date, and the copied shift assignment is from 4:00 PM - 9:00 PM. As the copied shift and the unavailability event do overlap, the system cannot paste the copied schedule.
Pasting a schedule to a target date with existing time off events, calendar events, or classes
You can paste to a target date that already has time off events, calendar events, or classes. If the target date has any one of these scheduled components, the system pastes the schedule to the target date and leaves these scheduled events as is.
For example, a target date has a time off event Scheduled event in WFM that can be used to plan and track planned time off, such as vacations. To avoid the approval process associated with time-off requests made through the time-off management functionality, you can create time-off events directly in the calendar. from noon to 1:00 PM, and a calendar event Scheduled event in WFM that is manually created on the schedule, can be a single instance or recurring event, and can have one or multiple attendees. Examples of calendar events are meetings or training sessions. from 3:00 PM to 3:30 PM. The copied shift assignment is from 8:00 AM to 5:00 PM. When you paste to the target date, the system pastes the shift from 8:00 AM to 5:00 PM, and keeps the time off event from noon to 1:00 PM, and the calendar event from 3:00 PM to 3:30 PM.
Only copy and paste weeks or scheduling periods with the same number of days
When copying and pasting weeks or scheduling periods, the copied schedule and the target schedule must have the same number of days. Otherwise, the system blocks the paste.
For example, the copied schedule has 28 days in the scheduling period. The target schedule has 30 days in the scheduling period. In this case, the system blocks the paste.
In another example, you have copied a 5-day week. The target week has 7 days. You cannot paste the copied schedule to this week.
Copying schedules with shift assignments that span day or week boundaries
For shift assignments that start on one day and end on the following day, copy the day on which the shift starts, and not only the day on which the shift ends to successfully copy and paste it to any target schedule.
For example, a shift assignment starts on Monday at 9:00 AM and ends on Monday at 5:00 PM. Another shift assignment starts on Sunday at 8:00 PM and ends on Monday at 2:00 AM. When you copy Monday, the system only copies the 9:00 AM to 5:00 PM shift assignment. It does not copy the shift starting on Sunday at 8:00 PM and ending on Monday at 2:00 AM.
In the same way, the system only includes shift assignments that start within the copied week.
For example, copy the week starting July 1st to July 7th. There is a shift assignment that starts on June 30th and ends on July 1st. There are other shift assignments that start on July 2nd, 3rd, and 4th. The system only copies the shift assignments that start on July 2nd, 3rd, and 4th. It does not copy the shift that starts on June 30th.
Copying schedules with shift assignments with OT extensions that span day or week boundaries
For shift assignments that have OT extensions that span day or week boundaries, copy the day on which the shift starts, and not only the day on which the OT extension starts to successfully copy and paste it to any target schedule.
For example, a shift assignment starts on Monday at 2:00 AM and ends on Monday at 10:00 AM. There is an OT extension added to the shift starting on Sunday at 11:00 PM and ending on Monday at 2:00 AM. When you copy Monday, the system copies the shift with the OT extension.
In another example, there is a shift assignment that starts on July 1st and ends on July 1st. There is an OT extension Overtime (OT) extension in WFM, which can be added before or after a shift to extend employee work time. added to the shift that starts on Sunday, June 30th. When you copy the schedule for the week of July 1st to July 7th, the system copies the shift with the OT extension.
In a third example, there is a shift assignment that starts on Monday at 2:00 AM and ends on Monday at 10:00 AM. There is an OT extension added to the shift that starts on Sunday at 11:00 PM and ends on Monday at 2:00 AM. If you copy the Sunday schedule only, the system does not include the shift assignment and the OT extension in the copied schedule.
All or nothing approach to hard and soft conflicts
When a hard conflict exists for any one of the scheduled assignments on the target date, the system blocks the paste, even if there are other scheduled assignments that have no conflicts or soft conflicts.
For example, you are copying and pasting a schedule for a specific week. From Monday to Saturday of that week, there are no conflicts. However, on Sunday, there is an existing custom shift assignment. Therefore, the system blocks the paste for the whole week - not just on that Sunday.
When there are soft conflicts, you can either select to paste to all of the schedules with soft conflicts, or none of them. You do not have the option of only pasting the copied schedule to some target schedules with soft conflicts.
